It is my honest belief that a properly designed and maintained web site would put the RWCS on the map as THE PREMIER collecting organization in the world. This site would serve several purposes:
1 - Attract new membership by providing information much like is the site now.
2 - Service existing membership by providing up-to-date information about national and chapter activities, along with membership maintenance info.
3 - Provide a communications mechanism for Board Members and membership to document, discuss, and debate topics before the Board.
Although these concepts are not exhaustively detailed, here's my vision of how this would be realized...
ATTRACT NEW MEMBERSHIP
============================
A - Provide history on the organization and the Potteries.
B - Provide review of Society activities.
C - Online membership sign up. D - Etc.
Most of this is in place all ready.
SERVICE EXISTING MEMBERSHIP
===============================
A - Provide up-to-date news and information about regular activities.
B - Provide Frequently Asked Questions/Answers page (FAQ) for those issues required to
maintain your membership. (e.g.. My newsletter is late, what do I do?)
C - Provide a current status of all projects before the board (meeting minutes) that are
linked to a chronology of each topic (see more under Communicate Board Topics).
D - Provide a public feedback forum for open discussion of topics related to RWCS
activities.
E - Etc.
COMMUNICATE BOARD TOPICS
=============================
The primary purpose of this section would be to fully document the chronology of each
major issue that comes before the Board. Issue templates (as suggested below) can be
filled out by the sponsor and posted on the web site before an actual BOD meeting. The
template would contain enough information about the issue that BOD members could review
the information before hand at home, have a short debate of the issues at the meeting, and
then vote. This template, accompanied by a complete chronology of each issue, would allow
members to understand the who/what/when/why/where/how much's of each topic before the
Board. As BOD meeting minutes were entered on the site, links would be provided to issue
chronologies (maintained by the Issue Sponsor) as appropriate. Ideally, this part of the
site would be tightly linked to a discussion group that would allow web-based membership
some input to the topics (ooo, scary)!
Issue Template (this would be modified of course)
-----------------------
a - Short Issue Description
b - Issue sponsor
c - Original date of issue
d - Last activity date of issue
e - General discussion
f - Costs
g - Benefits
h - Voting history
i - Etc
This method would facilitate proper documentation of Board Topics, a voting history, and allow general membership (not lucky enough to attend the meetings) to stay up-to-date and provide feedback.
What more could you ask?
